1. Who we are

FireLog is operated by William Ho in Hong Kong (“we”, “us”). We are the data user responsible for personal data collected through this website, under the Personal Data (Privacy) Ordinance (Cap. 486) (“PDPO”). This statement is our Personal Information Collection Statement and Privacy Policy.

It covers this website and enquiries about FireLog and its pilot. Records handled during a pilot are covered by a separate written agreement with the pilot partner.

2. What we collect

• When you contact us by email or WhatsApp: your name, company, job title, phone number, email address, the building you mention, and anything else you choose to send.
• The self-check: your answers are worked out in your own browser and are not sent to us. We cannot see them.
• Technical data: when you visit, our website host and Google Fonts (which supplies the page’s fonts) receive your IP address, browser type and the pages requested, as part of delivering the site. We do not use analytics, advertising or tracking tools.

3. Why we use it

• To reply to you and arrange meetings.
• To discuss, set up and run a FireLog pilot if you take part.
• To send you information you have asked for.
• To improve FireLog using feedback you give us.
• To meet legal or regulatory requirements.

Direct marketing. We will not use your personal data for direct marketing unless you have given your consent in the way the PDPO requires. You can withdraw consent at any time by emailing us, and we will stop without charge.

4. Is it compulsory?

No. Giving us your details is voluntary. If you don’t provide them, we may not be able to reply to you or arrange a pilot.

5. Who we may share it with

We do not sell personal data. We may transfer it only to:

• service providers who act for us, such as email, messaging (WhatsApp, operated by Meta), website hosting and cloud storage providers;
• our professional advisers, such as lawyers and accountants, under a duty of confidentiality;
• a company we set up to run FireLog, or a successor to the business, on the same terms as this policy;
• courts, regulators or law enforcement where the law requires it.

Some of these providers store data outside Hong Kong. We choose providers with appropriate security and confidentiality commitments.

6. How long we keep it

We keep enquiry data only as long as needed for the purposes above. If no pilot or agreement follows, we delete it within 24 months of our last contact with you, or sooner if you ask.

7. Security

We take reasonable steps to protect personal data from unauthorised or accidental access, processing, loss or use, including limiting access to the people who need it and using providers with encryption and access controls. No method of transmission or storage is completely secure.

8. Your rights to access and correct

Under the PDPO you may ask whether we hold your personal data, ask for a copy, and ask us to correct it. We will respond within 40 days. We may charge a fee for a copy, which will not be excessive.

9. Changes

We may update this policy. The date at the top shows the latest version. Significant changes will be shown on this page.

10. Language

This policy is in English and Chinese. If there is any inconsistency, the English version prevails.
